From April 1, 2025, e-delivery compulsory for companies
As of April 1, 2025, it becomes mandatory for business entities in Poland to set up an e-delivery address. The new regulations are aimed at simplifying and speed up the circulation of documents between businesses and public administration bodies, as well as improve the efficiency and transparency of administrative processes.
What is an address for electronic delivery?
An address for electronic delivery (ADE) is an address that an entrepreneur will use to receive official correspondence. All letters and notices from public administration bodies will be delivered precisely to this address.
Thanks to this solution, business entities will gain faster access to official correspondence, which will allow them to handle administrative matters more efficiently and fulfill their obligations on time.
Who will be covered by the obligation to establish an electronic delivery address?
The obligation to establish an electronic delivery address applies to businesses operating in Poland. This means that both small businesses and large corporations will have to comply with this requirement.
The deadline for implementing e-delivery, depends on the date of registration of the entity in either CEIDG or KRS:
- entities that register their business with either CEIDG or KRS from January 1, 2025, will set up e-delivery addresses during registration,
- those who registered their business in CEIDG before January 1, 2025 must have an e-delivery address from October 1, 2026,
- entities, including companies, that registered their business in KRS before January 1, 2025, must have an e-delivery address from April 1, 2025.
How to set up an electronic delivery address?
Establishing an electronic delivery address is done online by submitting a request for it. You will find the form to fill out at: https://www.biznes.gov.pl/pl/e-uslugi/00_0709_00 . Submission of the application requires logging in with a trusted profile.
After entering the necessary data on the entity, the application must be signed by an electronic signature of a person authorized to represent you. Activation of the address for e-Delivery results in its automatic entry into the database of electronic addresses (BAE).
It is worth noting that the e-delivery address will have to be updated in the event of a change to ensure continuity and correctness of delivery.
What are the benefits of introducing the obligation to set up an electronic delivery address?
The introduction of this obligation benefits both businesses and public administration bodies. It undoubtedly contributes to speeding up the circulation of documents and provides time savings. Thanks to the implementation of the e-delivery system, it will also be possible to avoid mistakes by postal operators and increase the transparency of the process of delivering letters.
The obligation for business entities to set up an e-delivery address, which will come into force on April 1, 2025, is an important step towards the digitization of public administration in Poland. Entrepreneurs should start preparing for its implementation now to avoid problems related to failure to meet this obligation in the future.
